Pricing & Billing

Is there a free plan?

Yes. You can use Care Assistant Pro completely free for up to 3 active clients, with no credit card required. All features are included on the free plan — the only limitation is the number of active clients.

What does the Pro plan cost?

The Pro plan is $299.99 per month and includes up to 10 active clients. Each active client above 10 is billed at an additional $9.99 per month. There are no other fees.

What counts as an active client?

An active client is any client with an active status in your account. Archived or inactive clients do not count toward your limit.

What happens when I exceed 3 clients on the free plan?

When you try to add a 4th active client, you'll be prompted to upgrade to Pro. Your existing data stays exactly where it is — upgrading takes just a minute from your account settings.

How does billing work?

When you upgrade to Pro, you're charged a prorated amount for the remainder of the current month. After that, you're billed on the 1st of each month based on your current active client count.

Do you offer a money-back guarantee?

Yes. If you're not satisfied within 30 days of your first payment, we'll refund every charge you've incurred — no questions asked. Just email support@careassistantpro.com to request a refund.

Can I cancel mid-month?

Yes. You can cancel at any time from your account settings. You'll keep full Pro access through the end of the current billing period.

Is there a long-term contract?

No. Care Assistant Pro is month-to-month. Cancel whenever you like.

What if my payment fails?

We'll notify you and give you 7 days to update your payment method before any features are affected. You can update your payment method at any time from your account settings.

Do I need a credit card to sign up?

No. You can create an account and start using Care Assistant Pro completely free with no credit card required. A payment method is only needed when you choose to upgrade to Pro.

How do I get started?

Create a free account, then follow the onboarding steps to set up your agency, add your clients, and invite your caregivers. Most agencies are up and running within a day.

Can I get help getting set up?

Yes. We offer free onboarding assistance for all new accounts. If you'd like a hand getting your agency configured, just email us at support@careassistantpro.com and we'll personally help you get started.

Do you support multiple admins per agency?

Yes. You can add multiple admins to your agency on any plan, including the free tier. Admins can have different permission levels depending on their role.

Can I upgrade at any time?

Yes. You can upgrade from the free plan to Pro at any time directly from your account settings — no sales call or credit card required.

What are the core features of Care Assistant Pro?

Care Assistant Pro is built around three core workflows: scheduling (shift management, caregiver assignment, clock in/out, recurring shifts), invoicing (private pay and insurance client billing, invoice generation and tracking), and payroll reporting (hours worked, overtime calculations, and exportable reports to support your payroll process).

Does Care Assistant Pro handle payroll directly?

No. Care Assistant Pro provides detailed payroll reports and data exports to support your payroll activities, but does not process or move payroll funds directly. You continue to use your existing payroll provider.

Can I bill both private pay and insurance clients?

Yes. Care Assistant Pro supports invoicing for both private pay clients and insurance-funded clients including Medicaid and Medicare.

Does the platform work on mobile devices?

Yes. Care Assistant Pro works on any modern mobile browser — no app download required. The caregiver-facing interface is designed with mobile use in mind for easy clock in/out and schedule viewing on the go.

Is Care Assistant Pro HIPAA compliant?

Yes. Care Assistant Pro is fully HIPAA compliant. We execute Business Associate Agreements (BAAs) with all our technology vendors, and a BAA between Care Assistant Pro and your agency is required and completed as part of the agency setup process.

Account & Security

How is my data protected?

All data is encrypted in transit over HTTPS and stored securely in the cloud. Passwords are stored using industry-standard one-way hashing and are never stored in plain text. Access to your agency's data is restricted to authorized users only.

Who can see my agency's data?

Only administrators you have authorized can access your agency's data within the platform. Care Assistant Pro staff may access data only as necessary to provide support or maintain the service, consistent with our BAA and Privacy Policy.

Can I have multiple agencies under one account?

Yes. A single admin account can be associated with multiple agencies, making it easy to manage more than one agency if needed.

What happens to my data if I cancel?

Your data remains accessible until the end of your billing period. If you need a copy of your data before canceling, contact us at support@careassistantpro.com and we'll assist you.
